BOARD MEETING MINUTES
November 22, 2005

The Board of Trustees of the North Canton Public Library held a regular meeting on Tuesday, November 22, 2005 at the library. Mr. Shoup called the meeting to order at 8:00 a.m. with the following members present: Mr. Dansizen, Mrs. Hoover, Mr. Lawton, Mrs. Schiltz, Mr. Smetana, Mrs. Zollinger. Absent: Others: Karen Sonderman, Farilyn Buchman. Guests: Phil Stahler.

Mr. Dansizen moved, Mrs. Hoover seconding, to accept the minutes of the October 19, 2005 meeting as presented. Ayes: Dansizen, Hoover, Lawton, Schiltz, Shoup, Smetana, Zollinger.

Mrs. Zollinger moved, Mr. Lawton seconding, to approve the following budget modifications.

The Director presented the statistical reports for October 2005. Borrowing continues to increase, with 5% growth for the month. It is expected that we will again exceed 1,000,000 items circulated before the end of November. Attendance at programs has been increasing also. A new Polaris product has been ordered and will be installed soon. The In-Bound Telephony product will allow patrons that do not have a computer available, to access their patron accounts through this special telephone line. They will be able to check their accounts, review their reserves and even renew their items that are not overdue or on reserve to another patron. A review report from Unique Collection Services shows that our library has had a 3 to 1 return ration on our accounts, which is a very good figure. They are also proposing that we purchase a new product that would notify small balance accounts that they owe between $10 and $25 in fines. This proposal will be discussed further at the December meeting. The Director reported that the recently revised Policy and Regulations Manual has been printed and distributed for all the staff to review. The manual was explained, changes were highlighted and questions were answered at a recent staff meeting. One of the art teachers at for the North Canton City Schools sent a letter in praise of Laurie Harbert and the programs at the Little Art Gallery. The credit card system is up and running, and the patrons seem to be appreciative of this new service. The Sun Digitization project is moving forward with a contract with OCLC for a 10 year conversion for the 1940 through 1949 Sun newspapers. We changed the procedure and now allow online renewals of items so long as the patron has less than $5.00 in fines due. The old procedure would not allow a renewal if any fine was due. We are phasing out the VHS popular collection. This format will still be available in the non-fiction, educational items. All popular DVD materials are being changed to a 7-day loan period with no reservations or renewals allowed. Some children’s and non-fiction items may still be reserved and renewed. This will help create a faster turnover and a greater annual circulation.

Mr. Dansizen, Building Committee Chair, stated that they are looking into refacing the concrete columns in the spring.

Mrs. Hoover, Art Committee Chair, reported that opening Sunday, December 4, 2005 and continuing through January 8, 2006, will be Life Force featuring multi-media works by Jody Weber Govenar and stoneware by Herta Rainey, both of North Canton.

Phil Stahler reported that the Friends of the Library will be holding their Christmas Party on December 8th and all are invited. The Friends have elected new officers and JoAnne Swanson will be the new president.

The next regular meeting of the North Canton Public Library Board of Trustees will be held on Wednesday, December 21, 2005 at 8:00 a.m.
